Exhibitor Contract

The African Studies Association Annual Meeting Exhibit provides publishers, organizations and other producers of African studies materials with the opportunity to display books, educational materials, software, and other items. All registered annual meeting participants are invited to visit the exhibit.
 

Exhibit Hours

Thursday, October 30:  12pm-6pm
Friday, October 31:  10am-6pm
Saturday, November 1:  10am-6pm
Sunday, November 2:  10am-1pm
Exhibitor Set-Up
Wednesday, October 29:  1pm-5pm
Thursday, October 30:   8am-12pm
Exhibitor Dismantle
Sunday, November 2:  1pm-5pm
The hall must be vacated by 5pm. No booths may begin to dismantled until the exhibit closes at 1pm on Sunday, November 2. Exhibits must be packed and ready for shipment by 5pm on Sunday.
 

Booth Rental
Each 8x10 booth will be equipped with one 6’ skirted table, two contour chairs, one wastebasket, and one 7x4 one-line I.D. sign. Exhibitors are responsible for any additional costs incurred, including but not limited to shipping, storage, labor, lighting, and electrical, telephone and internet connection.

Booth Rental Rates*:

$900 Commercial/University;  $625 each additional space

$775 Charitable Organization;  $525 each additional space (Items not for sale)


Advertising
Advertisements appear in the Annual Meeting program booklet, which is distributed to annual meeting attendees. The deadline for program advertisements is September 1, 2003. Advertisements may be sent electronically to both Jeffrey M. Herndon, aurorajeff@bellsouth.net and Sandra Smith, sansmith@rci.rutgers.edu. The best programs to use are Quark, Photoshop and Illustrator. Adobe InDesign and Pagemaker are also accepted.

Payment Information
A non-refundable $350.00 deposit per exhibit space reserved is due within two weeks of the invoice date.  Final payment for exhibit space is due on or before September 15, 2003.  Applications received after September 15th will be accommodated on a space available basis.

An exhibit will not be permitted to be installed until the account is paid in full. Contact Sandra Smith at sansmith@rci.rutgers.edu for an invoice.
